# W/ Main Street: Chamber Member Payment Readiness

Status: **Draft Practitioner Review Pending**

> Give Chamber of Commerce members a practical, nontechnical path from accepting cards to understanding their payment environment, provider responsibilities, recurring work, evidence, and escalation contacts.

## Before you begin

This independent practitioner resource is education, not a PCI DSS assessment, applicability decision, validation instruction, legal opinion, incident-response directive, or statement of a Chamber's position. Members should confirm validation and reporting direction with their compliance-accepting entity, typically their acquirer or payment brand as applicable.

## The five-step member path

1. **W/? Name the payment journeys** — List every place a customer can pay: counter, website, invoice, telephone, mobile event, recurring billing, donation, or another channel.
2. **W/→ Follow the handoffs** — Show which terminal, webpage, application, provider, bank, employee, device, and connection participates in each journey.
3. **W/↔ Assign responsibility** — Separate what the provider performs from what the member configures, operates, monitors, documents, and must still prove.
4. **W/∞ Put recurring work on a calendar** — Record the owner, expected evidence, frequency, escalation path, and change trigger for every recurring obligation supplied by the applicable program.
5. **W/✓ Keep the story explainable** — Retain current diagrams, inventories, provider evidence, completed activity records, exceptions, decisions, and incident contacts in a form another person can reconstruct.

## Fictional member starting points

- **Restaurant** — Counter terminals, online ordering, guest Wi-Fi, and a managed point-of-sale provider _Start with:_ Can the owner identify which network and administrative paths can affect the payment terminals and online ordering journey?
- **Dental practice** — Reception terminal, browser-based virtual terminal, emailed payment links, and outsourced IT _Start with:_ Which computer, employee role, provider, and paper or electronic record participates in each payment channel?
- **Retail boutique** — Standalone IP terminals, seasonal pop-up devices, ecommerce, and third-party fulfillment _Start with:_ Are temporary devices and seasonal workflows represented in the same inventory and responsibility story as the permanent store?
- **Professional-services firm** — Invoices, telephone payments, a virtual terminal, and recurring billing _Start with:_ Could card information enter email, notes, call recordings, spreadsheets, support tickets, or another path outside the intended virtual terminal?
- **Nonprofit or event organization** — Donation page, mobile event readers, volunteers, and multiple service providers _Start with:_ Who owns the payment environment before, during, and after an event—and who disables access and reconciles devices afterward?

## 1. Payment Journey Sketch

Draw every way the organization accepts cards without requiring architecture vocabulary.

- [ ] Where does the customer begin?
- [ ] Who or what collects payment information?
- [ ] Which provider receives it?
- [ ] Which organization-controlled system or person can affect the journey?
- [ ] What alternate, failure, refund, telephone, or event path exists?

## 2. Provider Question Card

Turn 'the vendor handles it' into answerable service and responsibility questions.

- [ ] What exact service do we use?
- [ ] What current PCI DSS evidence covers that service?
- [ ] Which activities are provider, customer, or shared?
- [ ] Which configuration choices can change the boundary?
- [ ] Who tells us when the service or its validation changes?

## 3. Recurring Work Planner

Translate supplied program direction into owned recurring work rather than an annual memory exercise.

- [ ] What activity is expected?
- [ ] Who owns it?
- [ ] What frequency or event triggers it?
- [ ] What record proves it occurred?
- [ ] Who is contacted when it is late, failed, or unclear?

## 4. People and Access Exit Check

Close payment-related access when employees, volunteers, contractors, or vendors change roles or leave.

- [ ] Which payment, provider, email, website, device, support, and administrative accounts exist?
- [ ] Which shared credentials or physical keys require action?
- [ ] Who verifies removal?
- [ ] What evidence is retained?
- [ ] Which inventory or responsibility record changes?

## 5. Five-Document Evidence Folder

Keep a small, current operating story instead of reconstructing one under pressure.

- [ ] Current payment-journey sketch
- [ ] Current system, device, webpage, and provider list
- [ ] Current provider evidence and responsibility information
- [ ] Completed recurring-activity records and exceptions
- [ ] Current incident, acquirer, provider, IT, legal, and insurance contacts

## 6. Incident Contact Sheet

Preserve who to contact and what not to improvise during a suspected payment event.

- [ ] Internal decision owner
- [ ] Acquirer or merchant-bank contact
- [ ] Payment and technology provider contacts
- [ ] Incident-response, legal, insurance, and forensic contacts
- [ ] Evidence-preservation and communication instructions from the organization's approved plan

## 7. Change Reopening Card

Make common business changes reopen the payment-security story before assumptions become inherited architecture.

- [ ] New terminal, reader, virtual terminal, or payment feature
- [ ] Website, plugin, hosting, DNS, script, developer, or ecommerce change
- [ ] New location, event, acquisition, channel, or provider
- [ ] Identity, remote-support, network, Wi-Fi, or administrator change
- [ ] Incident, missed activity, failed scan, or provider-evidence change

## 8. Member Readiness Self-Interview

Give an owner eight questions that expose where outside help or program direction is needed.

- [ ] Can I name every way we accept cards?
- [ ] Can I identify the systems and people involved?
- [ ] Can I explain what each provider does and what we still do?
- [ ] Do I know who tells us which validation method applies?
- [ ] Can I show the recurring work actually occurred?
- [ ] Can I show who has payment-related access today?
- [ ] Do I know what changes reopen the story?
- [ ] Could another person find our contacts and current records if I were unavailable?

## When the kit should reopen

- A payment channel, website, terminal, location, provider, plugin, or integration changes.
- A person joins, leaves, changes role, or receives payment-system access.
- Provider evidence, responsibility information, validation direction, or reporting expectations change.
- An incident, scan, test, complaint, exception, or failed transaction exposes an unrecorded path.
